Cost savings and improved compliance

Morgan Sindall is one of the UK’s leading construction and infrastructure companies.

With over 50% of employees using their own vehicles for work purposes, meeting their legal duty of care obligations is essential. Yet managing these 1,200 ‘grey fleet’ drivers and their vehicles is a challenge which can have serious consequences for safety, cost and tax compliance.

In order to understand, measure and control the risks and costs in relation to these vehicles, Lex Autolease undertook a full Grey Fleet Mobility Audit for Morgan Sindall.

HOW WE HELPED MORGAN SINDALL

The Lex Autolease Mobility Audit assesses many aspects of a business’ grey fleet, from cost efficiencies to environmental impact, in order to improve the management of these vehicles.

For Morgan Sindall, safety and risk management are essential parts of its business, with responsibility extending to drivers of its commercial vans, company cars and privately-owned vehicles.

As a result, Jonathan Hall, Fleet Director at Morgan Sindall, was keen to undergo an audit. “What we wanted to know is whether employees who take cash rather than a company car are travelling safely and cost effectively, while minimising the impact on the environment. We have robust policies with our company cars and wanted to have a clearer view of our grey fleet as well.”

Using data collected through their Airmax Remote Mileage Manager, Lex Autolease manipulated the raw data and produced a clear, straightforward report with an action plan for change.

KEY OUTCOMES FROM THE MOBILITY AUDIT

The audit allowed Morgan Sindall to look at all its private vehicles and identify where improvements needed to be made. It also provided a clearer view on how employees were travelling, and helped to inform cash-takers about the impact of tax on their vehicle choices.

ENHANCED PROCESSES

The findings resulted in an enhanced system of mileage-claim validation.

COST SAVINGS

We forecasted average annual savings of at least £51,400.

IMPROVED COMPLIANCE

Improvements were seen in health and safety, and tax compliance for business mileage expenses.
